Tips & Tricks:

It’s a common occurrence, emails being sent that shouldn’t be sent. Maybe it was unfinished, in which case it’s a bit embarrassing, but it can be laughed about later. But what if it was to the wrong person entirely?

What if it contained sensitive corporate data? If the receiving party is using Outlook – there’s a good chance that the message recall function in Outlook will solve the problem.

To recall or replace a message, follow these steps:

  • Locate the Sent Items folder.
  • Open (not just preview!) the message that you want to recall or replace in a separate window.
  • Click Actions on the ribbon or menu, and then click Recall This Message.
  • Enable the Delete unread copies of this message option to recall the message. Or, enable the Delete unread copies and replace with a new message to replace the message with a new one.
  • To receive a notification about the success of the recall or replacement, enable the Tell me if recall succeeds or fails for each recipient option.
  • Click OK. If you chose the replace option, type your new message and send it.

Great! You’ve saved the day and no one is seeing any messages they shouldn’t. But as great as message recall is, be aware there are some conditions that will cause Message Recall to fail:

  • The recipient is not using Outlook.
  • The recipient is not logged on to the mail service provider.
  • The recipient is using Cached Exchange Mode and is working offline.
  • The original message is moved from the Inbox. This can occur when rules are used.
  • The original message is opened first and marked as read. This can occur when the message is displayed in the Preview Pane or Reading Pane.

Need to turn an email into a PDF in Windows 10 in Outlook 2016?

  1. Press Ctrl + P to open the Print dialog, then select Microsoft Print to PDF as your printer.
  2. Once you select Print, pick a folder, name your PDF and then select Save.

A question of the Month:

My OneDrive is huge and it’s taking up a ton of space on my hard drive! Is there a way that I can avoid storing all the files in OneDrive locally, and purely have my files stored online?

In the Windows 10 Fall Creators Update, Microsoft introduced OneDrive Files On-Demand. Normally, the way OneDrive works is that files stored in your OneDrive are still stored locally and then changes are synced to a copy stored in the cloud.

Or, if the changes are made in the cloud, the changes are synced to the copy stored locally the next time that machine powers on. With Files On-Demand, instead of opening the local file saved to your computer, your OneDrive file is now filled with what are called “Placeholders” to your documents – the document is only downloaded when you open it!

The advantage here is potential big savings for local storage; your several GB in size OneDrive should now take up only a couple MB!

  • Post installation, look for Entities consuming more storage.

Resolve

  • If the issue is being caused by Email Attachments then, download the Attachment Manager and enable it.
  • Watch your expensive Dynamics 365 storage free up on the server

  • Here at IOTAP we often hear a common question from our clients when we introduce them to OneDrive: “This means if my files are in OneDrive, I can access my files from anywhere? On any PC?” to which our answer is always a delighted “Yes!” The OneDrive app for mobile has been around for a while now, but there are two key announcements that are great news for OneDrive users who have an iOS device:
  • Recently, the functionality to use a OneDrive for Business Account was added to OneDrive for iOS.
  • In addition, you can drag files from other apps, such as iMessage, into your OneDrive, drag files out of your OneDrive to other apps, and drag files in between folders in OneDrive.

A question of the Month:

  • I have this wonderful new Sharepoint Intranet that IOTAP built for me, and I love it! Is there a way that I can maybe “spice it up” or make each page look a bit more distinct?
  • Indeed, there is! SharePoint allows the site owner to quickly adjust the look and feel of their site, using default theme designs provided by Microsoft, or custom theme designs provided by customer’s own IT. To access this feature per site, click the upper-right gear menu and then select: Change the look.

  • This month we’re looking at “Focused Inbox” – the brand-new entry to the list of Office 365 features that just keep coming! Focused Inbox separates your inbox into two tabs—Focused and Other. Your most important emails are on the Focused tab while the rest remain easily accessible—but out of the way—on the Other tab. If you’re not already seeing this, it will arrive in your tenant soon.
  • Focused Inbox is the replacement for Clutter, that strange folder that made its appearance in your Inbox, not too long ago. It is powered by the same machine-learned algorithm that powered Clutter, however Focused Inbox presents a refined and improved view of those extra emails.

We often find ourselves taking pictures of things that exist outside the digital realm. Whiteboards, sticky notes we don’t want to carry around – even pictures of pictures! We all know that sometimes this doesn’t work out, sometimes that picture of a whiteboard leaves you sending emails asking coworkers for notes.

Introducing Office Lens. Office Lens is in camera built into OneNote for iPad or iPhone that lets you take pictures of whiteboards or printed documents, then enhances your photo by cropping, sharpening, and straightening it, so it looks almost like a scanned image.

Your picture is added to your note so you can retrieve it later. It’s available for Android as well as a standalone app!

A question of the Month:

It’s 2017, why do I still have to email IOTAP and ask for more licenses. Isn’t there a way I can manage it myself?

On the Horizon:

Many of our customers see the benefits of Dynamics 365, but don’t want to commit to the investment of a full-blown CRM system implementation.

We’ve covered Outlook Customer Manager in previous newsletters, for those that don’t know Outlook Customer Manager is a lightweight CRM that’s provided at no cost in Microsoft Outlook.

If you have an Office 365 Business Premium licenses you can get the Outlook customer Manager for free. If you are interested in an easy to use CRM built right into outlook upgrade to the Business Premium plan to receive the Outlook customer Manager.

Business Premium customers also get Office Bookings -it’s a new app that shows up in your Office Apps and allows you to schedule meetings with customers for your services.

Bookings give you a quick and easy alternative to scheduling appointments over the phone. A customizable public webpage lets your customers find available times and book appointments 24/7.

You get a private calendar for managing your schedule and automatic confirmations and reminders that save time.

Bookings are presently rolling out for Business Premium Office 365 subscribers who are in the First Release program and all Business Premium subscribers in the coming months.

What is an Intranet and why would it be useful to my organization?

An intranet is a private network, that allows access to company data to people within your organization. It can be used for document sharing, company updates, approval processes and a whole range of other services. It is a website for your company employees only.

We like Intranets because it is an essential part of the Digital Transformation journey and allows users to have access to a modern workplace.

Here are a few symptoms you should look out for:

  • Document management is getting difficult and documents are getting lost.

Do you have an ongoing project with someone outside your organization that you need to include in group emails and file sharing?

Guest access to Office 365 Groups enables you and your team to collaborate with people from outside your organization by granting them access to group conversations, files, calendar invitations, and the group notebook.

Access can be granted to a guest—including partners, vendors, suppliers, or consultants—by any group owner.

  • Step 1A group owner adds a guest to the group or a guest is nominated by group members. The group owner approves the nominees.
  • Step 2The group owner is informed of what the guest can access within the group. A combination of text and icons give all group members a clear indication of guest participation.
  • Step 3The guest receives a welcome email and can participate in group conversations, receive and respond to calendar invitations, and access the group files.
  • Step 4Guests can leave the group at any time via a link in the footer of all group emails and calendar invites.

What are my options for enhanced communication in Skype?

We often get questions about PSTN calling and conferencing in Skype for Business in Office 365. Most people think that since they’re in Office 365, that they’re locked into going back to Microsoft to expand their capabilities in Skype for Business. This simply isn’t so!

We’ve announced our partnership with CallTower previously on the monthly newsletter, but we’ve created a tool to show anyone interested in acquiring PSTN Dialing & Conferencing in Office 365 what their return on investment would be if they chose CallTower for their business’ phone needs.

Feature Update:

For our customers who routinely attend Skype for Business meetings – we have a way to improve Voice & Audio quality for your meetings – even across continents!

With Regionally Hosted Skype for Business Meetings, attendees to meetings no longer should worry about poor connectivity or unintelligible speech. This is remedied by changing which Microsoft datacenter each attendee connects to.

Previously, if a meeting was hosted in North America but an attendee was in Australia, their Skype client would have to connect to a data center in North America. Naturally, this was predisposed to create connection quality issues.

Now, we can set your Office 365 tenant in such a way that any one of your users that connect to a meeting connect to the closest Microsoft datacenter for Skype for Business hosted meetings, providing an immediate boost in call quality.

Feature Update

Skype for Business on Mac: A big feature has finally been added!

Desktop sharing in Conversations on Skype for Business on Mac. In the last update, Microsoft introduced the capability to share during an audio conversation and promised that we would add sharing for IM/Chat sessions as well. With this release, Microsoft has now included that support, so you can now share during a P2P session for audio and IM. We hope you find it useful.

PSTN Calling in the UK will be rolling out soon. PSTN calling gives Office 365 customers the option to give their users the ability to receive and make calls to traditional phone numbers from their Skype for Business clients.

This month we have another tip to help schedule meetings within your organization – no additional software required!

  • In Outlook, it’s possible to have all your viewed calendars appear as one. This is called creating a Calendar Overlay, and it’s very simple!
  • On the navigation bar in Outlook (bottom left side) click the Calendar icon. Click each calendar you want to view.
  • Each calendar you check opens them in the default side-by-side view.
  • After you’ve added a calendar to the side-by-side view, on the calendar’s tab, click

  • Each Calendar will be laid on top of each one you select! This makes it easy to identify free times among different calendars within your organization.

How do I recover mistakenly deleted emails?

Feature Update

Skye for Business has been going through some big changes! In addition to the forthcoming compatibility for Mac, we are pleased to announce that Office 365 E5 now offers an auto-attendant and queues for Skype for Business!

  • Auto Attendant provides an automated system to answer inbound phone calls to a company, play prompts to interact with the caller and determine the destination of the call. Prompts can be made from an uploaded pre-recorded material or use text-to-speech in 27 languages while replies from callers can be captured using touchtone or speech recognition in 14 languages. Callers can speak the name of an end-user in the tenant directory to be routed directly to that person or they can be presented with a customized menu to support routing to different departments.
